Clinic-side records only

Share dental records with a clinic intake without sending them to ToothAbroad.

Clinics may need diagnostic information later, but ToothAbroad never collects, interprets, receives or stores X-rays, CBCT scans, mouth photos, lab reports, prescriptions, diagnosis reports, or medical files. If you request a clinic introduction, the clinic should request any records directly through its own secure intake process after your explicit consent.

Send only what the clinic needs

For early pricing, licensed clinics may later need X-rays, CBCT if implants are involved, mouth photos, procedure goals, medical conditions that affect surgery, and your current treatment plan if you have one. ToothAbroad never receives these files.

Remove unrelated personal data

Before forwarding a US quote or record, hide Social Security numbers, insurance member IDs, unrelated family details, and billing information that is not needed for dental planning.

Keep everything written

Use email or a clinic intake form when possible. WhatsApp is useful for quick replies, but important treatment plan, deposit, refund, and warranty details should also exist in email or PDF.

Ask for retention rules

Ask how long the clinic keeps your records, who can access them, and how to request deletion if you decide not to proceed.

Before sharing

Green lights before sending records.

Clinic legal name, address, website, and matching email domain or matching business profile
Named dentist or coordinator receiving the file
Reason the record is needed: quote, implant planning, second opinion, or appointment preparation
No large deposit requested before a dentist reviews diagnostics
Written note that images are for preliminary evaluation, not a final diagnosis
Clear next step after review: itemized plan, questions, consult date, or request for CBCT
Do not send early

Files that create unnecessary risk.

Full passport photo unless travel paperwork truly requires it
Social Security number or full insurance member ID
Bank card photos or card numbers by chat
Login credentials for dental portals, email, or insurance accounts
Unrelated medical records that do not affect dental treatment
Large file batches sent to a clinic whose identity and evidence trail you have not checked
Copy/paste

Ask this before sending X-rays or CBCT.

This keeps the conversation professional and filters clinics that cannot explain basic record handling. ToothAbroad never receives these files; confirm the clinic's secure intake method before sending anything clinical.

Subject: Dental records for preliminary quote review

Hello,

I am comparing dental treatment options and would like a preliminary written estimate. Before I send records, can you confirm:

1. Which dentist will review my X-ray/photos or CBCT?
2. Which records do you need for my case?
3. How long do you keep patient records if I do not book?
4. Can I request deletion of my files later?
5. Will the written quote list materials, implant brands if relevant, warranty terms, and what is not included?

I can send mouth photos and recent dental records after you confirm the clinic's secure intake method.

Thank you.

Ready for the written-first quote check?

Use the clinic records checklist to understand what a treating clinic may request later. For ToothAbroad, start with written quote details only — procedure, materials, timeline, deposit, refund and warranty wording.
